For small offices

Visitor management system for offices in India

A visitor book on the front desk tells you nothing useful. It cannot be searched, it does not tell the host their guest has arrived, and it leaves the last visitor's name and phone number open for the next one to read. EntrySphere replaces it with a check-in that takes seconds and a record you can actually look things up in.

The host is notified on WhatsApp. No app for your staff to install.

What happens when a visitor arrives

1

Reception checks the guest in

Photo, who they are here to see, the purpose, and any vehicle details. Taken on a phone or tablet at the front desk.

2

The host is notified on WhatsApp

The person being visited gets the photo and details as a WhatsApp message with approve and reject buttons, wherever they are in the building.

3

The host responds

One tap, and reception sees the answer immediately. No phone calls around the office trying to find out whether the visitor is expected.

4

The visit is on record

Photo, time, host and outcome are stored and searchable, which is what you need when a client asks when their courier arrived.

Built for a front desk, not a corporate lobby

Host notified on WhatsApp

Staff approve visitors from the app they already have open, so nothing depends on people remembering another login.

Photo on every check-in

A face against every visit, which a paper register can never give you.

QR check-in

Expected guests and regular contractors scan and go, keeping reception free at busy hours.

Deliveries logged

Couriers and packages recorded against the person or desk they are for, so a missing parcel has a trail.

Privacy at the desk

Each visitor's details go into the system, not onto a shared page where the next person can read them.

A searchable record

Look up who visited, when, and who approved them, without going through months of handwriting.

Questions offices ask

Does the host need to install anything?
No. When a guest arrives, the person they are visiting receives a WhatsApp message with the visitor's photo and details and approves or rejects it with one tap. Staff do not need an app, an account or a password, which matters in an office where visitors arrive for people across different teams.
Is this suitable for a small office rather than a corporate campus?
Yes, that is who it is built for. There is no badge printer to buy, no turnstile to integrate and no IT project. A receptionist with a phone or tablet can run it from the first day, and plans are sized by how many desks or units you have rather than by enterprise seat counts.
Can we log couriers and deliveries too?
Yes. Deliveries are logged the same way as guests, with a photo and the person or desk they are for, so there is a record when a package cannot be found later.
What happens outside office hours or when reception is empty?
A visit that nobody approves stays pending rather than being treated as approved, and the person at the door can see that. Nothing is admitted on an assumption.
How is this different from a paper visitor book?
A paper book cannot be searched, cannot notify the host, and cannot prove who was in the building on a given afternoon. It also leaves every previous visitor's name and number readable by the next person who signs in. A digital log fixes all four.
