1. Introduction

Welcome to EntrySphere. EntrySphere is a visitor management and property access platform designed for apartments, residential associations, commercial buildings, and similar properties. By registering a property or using the platform, you agree to these Terms & Conditions.

2. Account and Registration

The property admin must provide accurate property, contact, and billing information during registration. The admin email must be a valid Gmail account where required for secure login and account access. The customer is responsible for maintaining access to the registered email account.

3. Authorized Use

EntrySphere must be used only for lawful visitor management, access approval, resident communication, and related property operations. The customer must not misuse the platform, upload illegal content, attempt unauthorized access, or use the system for spam, harassment, or unlawful surveillance.

4. Property and Resident Data

The customer is responsible for ensuring that resident, tenant, visitor, vehicle, and contact information uploaded into EntrySphere is accurate and collected with appropriate consent where required. The customer must not upload data that they are not authorized to process.

5. Visitor Information and ID Images

EntrySphere may allow collection of visitor details, photos, ID images, vehicle numbers, phone numbers, and visit purpose. The customer is responsible for informing visitors and residents about such collection as required by applicable rules and local building policies.

6. WhatsApp and Notifications

EntrySphere may send visitor approval requests, OTPs, alerts, and service messages through WhatsApp, email, PWA notifications, or other supported channels. Delivery depends on third-party providers such as Meta WhatsApp Cloud API, email providers, mobile networks, and internet availability. EntrySphere is not responsible for delays or failures caused by third-party services.

7. Google Maps and Location Services

If map or location features are enabled, they may rely on third-party services such as Google Maps. Map availability, accuracy, and billing are subject to the third-party provider's service conditions and configuration.

8. Subscriptions, Payments, and Renewals

EntrySphere subscriptions have a minimum commitment of one year. Customers may choose monthly billing during that commitment or annual billing in advance. Displayed subscription prices are inclusive of applicable GST; the GST component is shown as a breakdown and is not added again at checkout. Pricing, fair-use WhatsApp message quotas, overage charges, and any separately disclosed statutory or third-party charges may vary by plan.

9. WhatsApp Message Limits and Overage

Some plans include a monthly WhatsApp message quota. Usage beyond the included quota may be billed as overage or restricted based on the selected plan and admin settings. Message delivery costs may change depending on Meta or other third-party provider pricing.

10. Coupon Codes and Discounts

Coupon codes are subject to validity, expiry, usage limits, plan eligibility, and billing-period eligibility. EntrySphere may withdraw, modify, or reject coupon codes if misused or expired. Discounts are applied only when successfully validated by the system.

11. Customer Responsibilities

The customer is responsible for:

  • maintaining accurate property and resident data,
  • ensuring only authorized personnel access the admin dashboard,
  • training guards / security staff,
  • complying with local apartment association rules,
  • ensuring visitor data is handled responsibly,
  • paying subscription and overage charges on time.

12. Service Availability

EntrySphere aims to provide reliable service but does not guarantee uninterrupted availability. Planned maintenance, internet issues, cloud provider outages, third-party API failures, or force majeure events may affect service availability.

13. Limitation of Liability

EntrySphere is a technology platform to assist visitor management. It does not replace human security judgment, building security policies, or legal compliance obligations. EntrySphere is not liable for security incidents, unauthorized physical access, incorrect approvals, user mistakes, third-party outages, or indirect losses arising from use of the platform.

14. Data Security

EntrySphere will take reasonable technical and organizational steps to protect customer and visitor data. However, the customer must also maintain secure passwords, restrict dashboard access, and ensure authorized use by staff and residents.

15. Suspension or Termination

EntrySphere may suspend or restrict access if there is non-payment, misuse, unlawful activity, abuse of WhatsApp / API services, or violation of these Terms. Customers may request cancellation as per the applicable subscription terms.

16. Changes to Terms

EntrySphere may update these Terms from time to time. Continued use of the platform after changes means the customer accepts the updated Terms. Major changes may be communicated through the platform, email, or other available channels.
